HOW-TO GUIDE · STATEMENTS

How to find a missing bank statement,
from the balances, not the dates.

To find a missing bank statement, line the statements up in order and check that each month’s opening balance equals the previous month’s closing balance. Where they differ, a statement is missing. The ZeraBooks bank statement converter proves every statement against its printed balances, so the numbers you compare are already checked.

The Bank Statements list in ZeraBooks Convert: Harbor CU Member Checking 7742 for January, February, March, May and June, each marked Proven, with no April.

STEP BY STEP

Finding the gap in a year of statements

The example is a fictional credit union checking account ending 7742. January, February, March, May and June were uploaded. Every one of them proves on its own, which is exactly why a missing month is easy to miss.

  1. Step 1 of 6

Gather every statement for one account

Work one account at a time. Two accounts at the same bank have separate chains, and a business with checking and savings at one credit union often gets both on one PDF. ZeraBooks splits those by account before it checks anything.

A real run: 17 statements read and proven in ZeraBooks Convert. Fictional accounts.
  2. Step 2 of 6

Sort them by period, not by file name

File names lie. "Statement (3).pdf" can be any month. Sort by the statement period printed on page one. In the list here the months run January, February, March, May, June. Reading dates alone, a missing April is easy to skim past when the list is 60 files long.

  3. Step 3 of 6

Write down each closing balance and the next opening balance

March closes at $18,240.55. May opens at $21,905.10. Those two numbers should be the same if nothing sits between them. They aren’t, so something does.

Tip Use the balances printed in the statement summary, not a running balance you worked out yourself.

March proven: Member Checking 7742, opening $14,388.09 plus $3,852.46 in transactions equals the closing $18,240.55.
    March closes at $18,240.55.
  4. Step 4 of 6

    Measure the gap

$21,905.10 less $18,240.55 is $3,664.55. That is what the missing month did to the account: April’s deposits less April’s withdrawals came to $3,664.55. When the statement arrives, its net change has to equal that number, which is a check on the statement you get back.

May proven: Member Checking 7742, opening $21,905.10 less $2,134.67 in transactions equals the closing $19,770.43.
    May opens at $21,905.10.
  5. Step 5 of 6

Order the missing month from the bank

Most big U.S. banks keep up to 7 years online, but some keep far less: Navy Federal up to 36 months, Fifth Third 24 months, Huntington about 2 years, and card statements often less than bank statements. Past the window, the bank has to send a copy, sometimes for a fee. The catch-up bookkeeping page covers planning a year or more of missing months.

  6. Step 6 of 6

Upload it and confirm the chain closes

With April in place, March’s closing, April’s opening and closing, and May’s opening should all line up. If April’s net change isn’t $3,664.55, either the copy is for the wrong account or there is a second gap. In the ZeraBooks general ledger, the Reconciliations timeline keeps one row per account and one dot per month, and a month without a statement shows as a gap.

The Reconciliations timeline: one row per account and one dot per month, showing months that tie, months that need a look, coverage gaps and finalized months.

WHY NOT DATES

Why the dates alone won’t tell you

Statement periods don’t always run month to month. Some close on the 15th, some skip a month with no activity, and a bank that changes its cycle leaves an odd-length statement in the middle. A gap in dates can be nothing; a gap in balances is always something. The same test sits behind forensic bank statement analysis, where a missing month matters most.

QUESTIONS

Find a missing bank statement: common questions

Ask Damin directly
How do I know if a bank statement is missing?

Compare each statement’s opening balance with the previous statement’s closing balance. If they differ, at least one statement between them is missing.

Can a statement be missing even if the balances match?

Rarely. If the missing month had no activity at all, its opening and closing are the same, so nothing breaks. Count the periods too, and ask the bank if a month seems to have no statement.

Does ZeraBooks find missing statements automatically?

In the General Ledger, yes: the Reconciliations timeline marks any month of an account with no statement as a gap. In Convert, every statement is proven on its own, which gives you checked opening and closing balances to line up as shown here.

How far back can I get a missing statement?

It depends on the bank. Many keep up to 7 years online; some keep 2 or 3. Older statements have to be requested, sometimes for a fee. Our statement retention study lists 23 banks.
