GUIDE · FINANCIAL STATEMENTS
Financial statement PDF to Excel,
every total checked before you download.
To convert a PDF balance sheet or income statement to Excel, upload it to the Financial Statements page of ZeraBooks Convert, the same bank statement converter that reads bank statements, and download Excel. Every line becomes a row with Statement, Section, Line, Amount and Total columns, and every printed total is checked against its lines first.

WHAT CONVERT READS
What does Convert read from a financial statement PDF?
Profit and loss statements, balance sheets and cash flow statements, as PDFs up to 50 MB and 500 pages. One PDF can hold several statements, and each gets its own section.
The heading and date
The statement type, the company and the title as printed, and the date as printed: “As of” for a balance sheet, a date range for a P&L or cash flow. The basis too, such as Accrual basis, when it is printed.
Every line, in order
Headings, account lines, totals and result lines such as Gross Profit and Net Income, indented by level the way the PDF shows them. Headings come through as rows with no amount, so the structure survives in Excel.
One amount column
Each statement keeps one amount column. On a monthly P&L with a Total column, that is the Total. Otherwise it is the rightmost column, and its heading is shown above the amounts so you can see which year or period you got.
The proof
Every total against the lines it adds up, plus the statement’s own formulas: gross profit, net operating income and net income on a P&L, assets = liabilities + equity on a balance sheet, and net change and ending cash on a cash flow statement.
Try it on your own documents. One-week free trial, both apps included.
WORKED EXAMPLE · BALANCE SHEET
What does a balance sheet look like after converting to Excel?
A fictional company, Alder Creek Supply LLC, balance sheet as of December 31, 2025. These are the rows the All details download gives you, in the order printed.
| Statement | Section | Line | Amount | Total |
|---|---|---|---|---|
| Balance Sheet | Assets | Assets | ||
| Balance Sheet | Assets | Current Assets | ||
| Balance Sheet | Assets | Checking | 58,312.40 | |
| Balance Sheet | Assets | Accounts Receivable | 41,870.00 | |
| Balance Sheet | Assets | Inventory | 63,415.00 | |
| Balance Sheet | Assets | Total Current Assets | 163,597.40 | Yes |
| Balance Sheet | Assets | Fixed Assets | ||
| Balance Sheet | Assets | Equipment | 47,500.00 | |
| Balance Sheet | Assets | Accumulated Depreciation | -19,000.00 | |
| Balance Sheet | Assets | Total Fixed Assets | 28,500.00 | Yes |
| Balance Sheet | Assets | Total Assets | 192,097.40 | Yes |
| Balance Sheet | Liabilities and Equity | Liabilities and Equity | ||
| Balance Sheet | Liabilities and Equity | Liabilities | ||
| Balance Sheet | Liabilities and Equity | Accounts Payable | 27,684.15 | |
| Balance Sheet | Liabilities and Equity | Equipment Loan | 38,200.00 | |
| Balance Sheet | Liabilities and Equity | Total Liabilities | 65,884.15 | Yes |
| Balance Sheet | Liabilities and Equity | Equity | ||
| Balance Sheet | Liabilities and Equity | Owner Contributions | 20,000.00 | |
| Balance Sheet | Liabilities and Equity | Retained Earnings | 93,456.50 | |
| Balance Sheet | Liabilities and Equity | Owner Distributions | -30,000.00 | |
| Balance Sheet | Liabilities and Equity | Net Income | 42,756.75 | |
| Balance Sheet | Liabilities and Equity | Total Equity | 126,213.25 | Yes |
| Balance Sheet | Liabilities and Equity | Total Liabilities and Equity | 192,097.40 | Yes |
The PDF printed (19,000.00) and (30,000.00); the file has them as minus numbers. Section is the outermost heading a line sits under, and in the file each Line is indented two spaces per level, as on the PDF. Total says Yes on every subtotal and total, so filtering Total to blanks leaves only account lines: in Excel, =SUMIFS(D:D,B:B,"Assets",E:E,"") returns 192,097.40, the same as Total Assets.
WORKED EXAMPLE · INCOME STATEMENT
What does an income statement look like in Excel?
The same company’s profit and loss for January 1 to December 31, 2025, as downloaded. Gross Profit, Net Operating Income and Net Income are result lines, so they are marked Total too.
| Statement | Section | Line | Amount | Total |
|---|---|---|---|---|
| Profit and Loss | Income | Sales | 412,600.00 | |
| Profit and Loss | Income | Service Revenue | 38,400.00 | |
| Profit and Loss | Income | Total Income | 451,000.00 | Yes |
| Profit and Loss | Cost of Goods Sold | Purchases | 248,050.00 | |
| Profit and Loss | Cost of Goods Sold | Total Cost of Goods Sold | 248,050.00 | Yes |
| Profit and Loss | Cost of Goods Sold | Gross Profit | 202,950.00 | Yes |
| Profit and Loss | Expenses | Rent | 36,000.00 | |
| Profit and Loss | Expenses | Wages | 98,400.00 | |
| Profit and Loss | Expenses | Depreciation | 9,500.00 | |
| Profit and Loss | Expenses | Other Operating Expenses | 13,078.40 | |
| Profit and Loss | Expenses | Total Expenses | 156,978.40 | Yes |
| Profit and Loss | Expenses | Net Operating Income | 45,971.60 | Yes |
| Profit and Loss | Other Expenses | Interest Expense | 3,214.85 | |
| Profit and Loss | Other Expenses | Total Other Expenses | 3,214.85 | Yes |
| Profit and Loss | Other Expenses | Net Income | 42,756.75 | Yes |
Heading rows (Income, Expenses and so on) are left out here to keep the table short; the file has them. A result line keeps the section above it, so Net Income sits under Other Expenses. If you need a refresher on reading the lines themselves, see our guide to the profit and loss statement.
THE CHECKS TO RUN
How do you check a converted balance sheet and income statement?
Convert proves each statement on its own before you download. The checks that tie one statement to the other are yours, and they take five minutes with the rows above.
| Check | The arithmetic | Who checks it |
|---|---|---|
| Subtotals foot | 58,312.40 + 41,870.00 + 63,415.00 = 163,597.40 | Convert, on every total |
| Assets = liabilities + equity | 65,884.15 + 126,213.25 = 192,097.40 | Convert |
| P&L formulas | 451,000.00 − 248,050.00 − 156,978.40 − 3,214.85 = 42,756.75 | Convert |
| Net income ties across | P&L 42,756.75 = balance sheet Net Income 42,756.75 | You |
| Retained earnings roll forward | 93,456.50 + 42,756.75 − 30,000.00 = 106,213.25 | You, with next year’s balance sheet |
| Depreciation agrees | Expense 9,500.00 = this year’s rise in accumulated depreciation | You, with last year’s balance sheet |
The change in retained earnings over a year equals net income less distributions: 106,213.25 − 93,456.50 = 12,756.25, and 42,756.75 − 30,000.00 = 12,756.25. If the next year’s balance sheet opens retained earnings at any other figure, something was booked straight to equity, and that is the question to ask.
WHERE PDF FINANCIALS GO WRONG
What goes wrong when converting PDF financial statements?
Negatives in parentheses
A copy-and-paste turns (19,000.00) into text, or drops the sign. Convert reads parentheses, a trailing minus and CR as negative, and the file holds a real minus number Excel can add.
Comparative years side by side
A 2025 and 2024 balance sheet in two columns gives you one column: the rightmost, which on many statements is the prior year. Check the column heading on the statement before you download, and for the other year upload that year’s own PDF.
Total lines counted twice
Summing an Amount column that holds both lines and their totals doubles everything. The Total column marks every subtotal and result line, so a filter or SUMIFS on blank Total cells adds account lines only.
Rounded statements
Statements printed in whole dollars round each line, so a total can differ from its lines by a dollar or two. Convert allows for that only when every amount on the statement is a whole dollar, and only by a few dollars, for example up to $3 for a group of nine lines.
Scanned pages
Convert reads the page image, so a scan with no text layer goes through. A faint scan can still be misread, and the proof shows where: a total marked with an orange triangle, with what the lines come to and what the statement prints. Financial statements can’t be edited, so upload a clearer copy.
No totals to check
A statement with no totals shows “No totals could be checked in these statements.” Compare it with the PDF line by line before you use it.
STEP BY STEP
How do you convert a balance sheet PDF to Excel?
- 1
Open Financial Statements
In ZeraBooks Convert, click Financial Statements in the left navigation.
- 2
Upload the PDF
Click Upload statements or drop the PDF anywhere on the page. A balance sheet, P&L and cash flow statement in one PDF are read as three statements.
- 3
Read the banner
“Every total adds up ✓; assets = liabilities + equity” means the balance sheet proved. “Needs a look before you download.” lists each total that doesn’t match, what its lines come to and what the statement prints.
- 4
Download Excel
Click Download, then Excel or CSV. There is one format, All details, so the file downloads straight away. To put several documents in one file, tick them in the list and click Download n together.
WHO USES IT
Who converts financial statements to Excel?
Lenders and credit analysts
Spreading a borrower’s financials means getting three years of statements into one sheet. Each year’s PDF downloads as rows with sections and totals marked, ready to map into your spread, and each statement is proven before you start.
CPAs taking over a new client
The prior accountant’s year-end statements become the starting point you tie to. Firms converting statements for many clients can ask about our statement conversion for accounting firms.
Buyers doing due diligence
A seller’s data room is mostly PDFs. Convert the statements, run the roll-forward checks above, and pair them with the bank statements through the bank statement converter to see if reported revenue reached the bank. Brokerage accounts go through the investment statement converter.
Anyone with the source documents too
The vendor invoices behind a P&L line can come out the same way: see invoice PDF to Excel.
Can ZeraBooks convert a cash flow statement to Excel?
Yes. A cash flow statement is read line by line like the others, and Convert checks that the net change in cash equals operating plus investing plus financing, and that ending cash equals beginning cash plus the net change.
What happens with a monthly P&L that has twelve columns?
Convert keeps one amount column per statement: the Total column when there is one, otherwise the rightmost column. The months themselves are not split into separate columns in the download.
Can I edit a line Convert read wrongly?
No. Financial statements can’t be edited in Convert. Upload a clearer copy of the PDF; pages that couldn’t be read never count toward your plan.
Can I choose different columns for the download?
No. Financial statements have one ready-made format, All details: Statement, Section, Line, Amount and Total. Rearrange it in your spreadsheet if your template needs another order.
Does Convert build financial statements from my transactions?
No. Convert reads statements you upload. To have the statements built from your own books, keep the books in ZeraBooks, where the General Ledger produces the P&L, balance sheet and cash flow.
How much does it cost?
Convert is part of the ZeraBooks subscription: 1,000 pages a month for $79 a month billed annually, with a 7-day trial. See ZeraBooks pricing.
