GUIDE · BEHIND ON THE BOOKS
Catch-up bookkeeping,
from the last month you trust to today.
Catch-up bookkeeping fills in the months that were never recorded. Start from the last month whose closing balance you trust, gather every bank and card statement since then, and do the months oldest first, reconciling each one before the next. Our bookkeeping services team quotes catch-up once, then monthly bookkeeping starts from $150 a month.

WHERE TO START
How do you catch up on bookkeeping when you are months behind?
The order matters more than the speed. A month done out of order has to be redone when the month before it changes.
- 1
Find the last month you trust
Pick the most recent month whose closing balance in the books matches the bank statement. That balance is the starting point. If no month ties, the job is a bookkeeping cleanup, not a catch-up.
- 2
Gather every statement since then
Every bank account, every card, every month, as PDFs. Statements matter more than receipts here because they carry the bank’s opening and closing balances.
- 3
Work oldest month first
Record and categorize one month, reconcile it to the statement, then move on. The next statement must open where the last one closed.
- 4
List what is missing as you go
A missing statement shows up as a gap between one closing balance and the next opening balance. Request it from the bank now; some take a week or two for older months.
- 5
Clear the questions in one batch
Transfers between your own accounts, owner draws and personal charges on the business card are the usual questions. Answering them together is faster than one at a time.
- 6
Switch to monthly once current
When the last full month ties, the backlog is done. From then on each month is booked when its statement arrives.
Tell us about your books. We’ll scope the work and quote it before anything starts.
WHAT TO GATHER
What documents do you need for catch-up bookkeeping?
Bank and card statements are the spine. Everything else answers questions the statements raise.
| Document | Why it’s needed | Where to get it |
|---|---|---|
| Bank statements (PDF), every month | Every transaction plus the opening and closing balance that proves the month is complete | Online banking, Statements & Documents |
| Credit card statements (PDF), every month | Charges, payments and interest on each card | The card issuer’s site |
| Payroll reports | Splits each payroll withdrawal into wages, taxes and fees | Your payroll provider |
| Loan statements | Splits each loan payment into principal and interest | The lender |
| Sales platform payout reports | Turns a net deposit back into sales, fees and refunds | Shopify, Stripe, Square or similar |
| Last trusted balance sheet or trial balance | The opening balances the catch-up builds on | Your old software or last tax return file |
Receipts and invoices help with categories, but a catch-up can start without them. The questions list at the end tells you which few you actually need to find.
WORKED EXAMPLE
What does a seven-month catch-up look like?
Marlow Signs is a fictional sign shop with one checking account and one card. Its books were last right at the end of February 2026. The owner sent everything in October. Here is the checking account’s statement chain, which is the first thing checked:
| Month | Opening (printed) | Closing (printed) | Previous closing | Difference |
|---|---|---|---|---|
| February (last trusted) | 14,210.35 | |||
| March | 14,210.35 | 12,884.10 | 14,210.35 | 0.00 |
| April | 12,884.10 | 15,402.77 | 12,884.10 | 0.00 |
| May | 15,402.77 | 13,960.04 | 15,402.77 | 0.00 |
| June | 13,960.04 | 16,118.92 | 13,960.04 | 0.00 |
| July | not sent | not sent | ||
| August | 15,740.66 | 17,036.58 | 16,118.92 | -378.26 |
| September | 17,036.58 | 18,550.21 | 17,036.58 | 0.00 |
August opens 378.26 below where June closed, so July is missing and that is its net change. The owner downloaded July from online banking the same day. Once all seven months tie, the card follows the same way. The catch-up was quoted once for the seven months; monthly bookkeeping started with October.
CATCH-UP OR CLEANUP
Is catch-up bookkeeping the same as a cleanup?
They start from different places, and the quote follows that.
Catch-up
The months were never done. The work is recording and reconciling them from statements, oldest first. Usually the faster job, because nothing has to be undone.
Cleanup
The months were done, but wrong: balances don’t match the bank, duplicates, transfers booked as income. Each month is checked and corrected until it ties. See bookkeeping cleanup.
Both
Common after a bookkeeper or a service stops mid-year. The last few months they did need a cleanup, and the months since need a catch-up. The Bench alternative page covers that case.
WHY IT CAN’T WAIT
What happens if you stay behind on your books?
Nothing on a given day. Then a few dates arrive at once.
Estimated tax
For 2026, individual estimated tax is due April 15, June 15 and September 15, 2026 and January 15, 2027, per the IRS. Without current books there is no profit figure to size the payment from.
Form 1099-NEC
Due to contractors and the IRS by January 31. You need the year’s payments to each contractor, which come from the books.
The tax return
Your accountant prepares it from the books. A return prepared from a shoebox gets billed as catch-up work first, at accountant rates.
A loan or a lease
Lenders and landlords ask for a recent profit and loss and balance sheet. Months behind means weeks of delay.
WITH ZERABOOKS
How does ZeraBooks do catch-up bookkeeping?
Same order as above, with the slow parts done on our own AI-native ledger.
- 1
A free call first
Tell us the accounts, the last month you trust and roughly how far behind you are. We quote the catch-up once and the monthly price separately.
- 2
Upload everything at once
Drop every statement into your upload portal, years of them if needed, with no sorting or renaming. Every file is marked Received.
- 3
Every month proven against the bank
A month only closes when the ledger matches the statement’s printed opening and closing balances. Gaps in the chain become a short list of what to send.
- 4
Your questions in one list
Transfers, owner draws and anything unclear come to you together. You can watch the months close in your read-only login.
- 5
Then monthly
Once current, monthly bookkeeping starts from $150 a month, with reports on your schedule. See what a bookkeeper costs for how that compares.
How much does catch-up bookkeeping cost?
It depends on how many months, accounts and transactions there are, so ZeraBooks quotes it once after a free call. Monthly bookkeeping is priced separately, from $150 a month. Our guide to what a bookkeeper costs shows how hourly and monthly pricing compare.
How long does catch-up bookkeeping take?
Once every statement is in, a few months of a small business usually takes days, not weeks. The wait is almost always a missing statement or an unanswered question, which is why both are listed early.
Can you catch up a whole year or more?
Yes. Upload every statement since the last month you trust, years at once if needed. The months are done oldest first and each one is reconciled before the next.
Do I need receipts to catch up my books?
Not to start. Bank and card statements carry every transaction and the balances that prove each month. Receipts and invoices answer category questions, and the question list tells you which ones matter.
What if my bank only lets me download a few months?
Most banks keep several years of statements online; older ones can be requested. Download the PDF statements, not the activity CSV, because the CSV usually has no opening or closing balance.
Should I catch up the books myself instead?
You can. ZeraBooks AI bookkeeping reads your statements, categorizes and reconciles month by month, from $79 a month billed annually. Once you are current, monthly bookkeeping services explains what the ongoing work includes.
