GUIDE · BOOKKEEPER VS ACCOUNTANT
Bookkeeper vs accountant,
and which one you need.
A bookkeeper records and reconciles your transactions every month so the books are right. An accountant, often a CPA, uses those books to prepare tax returns, plan taxes and, when a lender asks, review or audit the statements. Most small businesses need both: monthly bookkeeping services such as ZeraBooks, and an accountant at year end.

TASK BY TASK
What is the difference between a bookkeeper and an accountant?
The bookkeeper works every month on what happened. The accountant works mostly once a year on what it means for tax and for anyone outside the business who relies on the numbers. Here is who usually owns each job in a small business.
| Task | Bookkeeper | Accountant or CPA |
|---|---|---|
| Recording every bank and card transaction | Yes, monthly | Rarely |
| Reconciling each account to its statement | Yes, monthly | Checks it at year end |
| Payroll entries from the payroll provider’s report | Yes | Reviews the year’s totals |
| Monthly profit and loss and balance sheet | Yes | Reads them |
| Year-end adjustments (depreciation, accruals) | Sometimes | Yes |
| Income tax returns | No | Yes |
| Reviewed or audited financial statements | No | CPA firms only |
| Tax planning (entity choice, timing of purchases) | No | Yes |
| Speaking for you to the IRS | No | CPAs and enrolled agents |
The line moves with the people. Some bookkeepers post depreciation from the accountant’s schedule, and some accountants keep monthly books themselves. What doesn’t move: only a licensed CPA firm can issue a review or audit report, and only a credentialed preparer can represent you in an IRS appeal or collection case.

CREDENTIALS
What credentials should a bookkeeper or accountant have?
Anyone can call themselves a bookkeeper or an accountant. The titles below are the ones you can check. Ask which one they hold and look it up before you hand over the logins.
CPA (certified public accountant)
Licensed by a state board of accountancy after passing the Uniform CPA Exam and meeting experience rules. Check a license on NASBA’s CPAverify search or your state board’s site. CPAs can sign tax returns, represent you before the IRS without limits and, through a licensed firm, issue review and audit reports.
EA (enrolled agent)
Licensed by the IRS after a three-part Special Enrollment Examination and a suitability check. Enrolled agents work on tax only and have the same unlimited IRS representation rights as CPAs. They appear in the IRS Directory of Federal Tax Return Preparers with Credentials.
Certified Bookkeeper (CB), AIPB
From the American Institute of Professional Bookkeepers: a four-part exam, a signed code of ethics and two years of full-time bookkeeping, or 3,000 hours part time.
Certified Public Bookkeeper (CPB), NACPB
Issued by the National Association of Certified Public Bookkeepers after its exams and experience requirements. Despite the name, it is not a CPA license.
A preparer with only a PTIN
A PTIN is the number every paid tax preparer needs. On its own it is not a credential: for returns filed after 2015, a preparer with only a PTIN can’t represent you before the IRS at all, per the IRS.
WHAT EACH COSTS
Is a bookkeeper cheaper than an accountant?
Per hour, yes, by about 40%. The Bureau of Labor Statistics publishes what each is paid as an employee. Firms bill more than these wages because the rate also covers their overhead, but the gap between the two roles holds.
| May 2025 wages (BLS) | Bookkeeping clerks | Accountants and auditors |
|---|---|---|
| Median per year | $50,670 | $83,680 |
| Median per hour | $24.36 | $40.23 |
| Accountant’s lowest 10% earn under | $56,020 | |
| Accountant’s highest 10% earn over | $144,090 |
Source: BLS Occupational Outlook Handbook, pay data for May 2025. Accountants typically need a bachelor’s degree; bookkeepers usually don’t. The point for a small business is where the hours go: the bookkeeper’s hours come every month and the accountant’s come in a few weeks around year end. Paying accountant rates for monthly categorizing is the most common way small businesses overpay. For a bookkeeper priced four ways, see how much a bookkeeper costs.
A YEAR WITH BOTH
What does a year with a bookkeeper and an accountant look like?
Juniper Grooming is a fictional one-owner dog grooming shop run as a single-member LLC: one bank account, one card, two part-time groomers paid as contractors. The bookkeeping fee is an assumed $250 a month. The accountant’s fees are assumed quotes, stated here so the arithmetic is clear.
| When | Who | Work | Fee |
|---|---|---|---|
| Each month, Jan to Dec | Bookkeeper | Records the bank and card, reconciles both, sends the P&L and balance sheet | 3,000.00 |
| January | Bookkeeper | Lists both groomers for Form 1099-NEC with their W-9 details | Included |
| February | Accountant | Year-end adjustments: depreciation on two grooming tables and a dryer | 300.00 |
| March | Accountant | Prepares Schedule C with the owner’s Form 1040 from the bookkeeper’s financials | 1,200.00 |
| November | Accountant | Tax planning call: estimated payments and whether an S corporation election is worth it | 450.00 |
| Accountant for the year | 1,950.00 | ||
| Total for the year | 4,950.00 |
Bookkeeping is $3,000 of the $4,950, and the accountant’s $1,950 is mostly one return. The return price assumes clean books. Hand an accountant a shoebox of statements in March and the same return gets billed by the hour for the catch-up first.
RED FLAGS
When have you outgrown a bookkeeper alone?
A bookkeeper is enough until a decision or a form needs someone licensed. Bring in an accountant, or see yours more than once a year, when any of these show up.
You hire your first employee
Payroll taxes, state registrations and worker classification have penalties when they go wrong. The bookkeeper records payroll. The accountant makes sure it is set up right.
Profit jumps and you haven’t paid estimated tax
A good year with no quarterly payments ends in a large April bill and possibly a penalty. An accountant sizes the payments while there is still time.
A bank or investor asks for reviewed or audited statements
Only a CPA firm can issue those reports. Your bookkeeper’s financials are the starting point, not the answer.
A letter arrives from the IRS or the state
Answering it is representation. Use a CPA, an enrolled agent or an attorney.
You sell in several states or start holding inventory
Sales tax registrations and inventory accounting carry tax choices a bookkeeper shouldn’t make for you.
You are thinking about an S corporation, a partner or a second company
Entity and ownership changes are tax planning. Decide with an accountant before the paperwork, not after.
WITH ZERABOOKS
Does ZeraBooks replace my accountant?
No. ZeraBooks is not a CPA firm and doesn’t prepare or file tax returns. The service does the bookkeeper’s column of the table above and gives your accountant clean books to file from.

Statements go in the portal
You drop bank and card statements, bills and invoices into your upload portal. Our team records and categorizes every line.
- 2
Nothing closes until the bank agrees
A month stays open until the ledger matches the opening and closing balances printed on each statement. You follow along in a read-only login.
- 3
Reports arrive on your schedule
Profit and loss, balance sheet and cash flow, monthly or quarterly, whichever you choose.
- 4
Your accountant gets one package
At year end we send the financial package: trial balance, P&L, balance sheet and cash flow as a PDF with the full ledger as a CSV, plus the payees who may need a 1099. Your accountant decides what to file.
Do I need a bookkeeper or an accountant first?
A bookkeeper, in most small businesses. An accountant can only file and plan from books that are complete, so the monthly bookkeeping comes first and the accountant works from it at year end. A business that just started may need one hour with an accountant on entity choice before either.
Can an accountant do my bookkeeping?
Yes, and some will. You pay accountant rates for monthly recording work, though. By the BLS May 2025 medians, an accountant’s hour costs about 65% more than a bookkeeping clerk’s. Many accountants prefer clients who send reconciled books.
Can a bookkeeper file my taxes?
A bookkeeper with a PTIN can prepare a return for pay, but can’t represent you before the IRS unless they are also a CPA, enrolled agent or attorney. ZeraBooks doesn’t prepare or file returns. We keep the books your tax preparer files from.
Is a CPA better than an accountant?
A CPA is an accountant with a state license. You need one for reviewed or audited statements. For a small business tax return, an enrolled agent or an experienced non-CPA preparer may also be fine. Check the credential, not the title.
What happens when Bench or another bookkeeper shuts down mid-year?
Your accountant still needs a complete year. Get every statement since the last month you trust and have the books rebuilt from there. The Bench alternative page shows how that move works, and outsourced bookkeeping covers handing the books to a new provider.
Can I do the bookkeeping myself and just hire an accountant?
Yes. Plenty of owners keep their own books and pay an accountant at year end. ZeraBooks AI bookkeeping categorizes from your statements and proves each month against the bank, from $79 a month billed annually. Agents and small teams with commission income can start with bookkeeping for real estate agents.
