GUIDE · CREDIT CARD BOOKKEEPING
American Express expense categorization,
charge by charge, without double counting.
American Express expense categorization starts with one rule: the card is a liability account, and each charge goes to the expense it paid for. The monthly Amex payment from checking is a transfer, never an expense. The ZeraBooks general ledger reads Amex PDF statements, categorizes every charge from your reviewed history and pairs the payment on both accounts.

THE MAPPING
Which account does each Amex charge go to?
Typical lines from an Amex business card statement and where a small service business would post them. Your chart may use different names; what matters is that the same merchant lands in the same place every month.
| Line on the Amex statement | What it usually is | Account in the chart |
|---|---|---|
| GOOGLE *WORKSPACE | Email and documents for the team | Software and subscriptions |
| ADOBE *CREATIVE CLOUD | Design software, billed monthly | Software and subscriptions |
| AMAZON WEB SERVICES | Hosting for the website or app | Hosting and cloud services |
| GOOGLE *ADS | Search ads | Advertising |
| FACEBK *ADS | Facebook and Instagram ads | Advertising |
| DELTA AIR LINES | Flight to a client or conference | Travel |
| MARRIOTT HOTELS | Hotel on the same trip | Travel |
| UBER *TRIP | Ride to a meeting | Travel (local transport) |
| SHELL OIL | Fuel for a business vehicle | Vehicle expenses |
| Restaurant name | Lunch with a client | Meals |
| STAPLES | Paper, ink, small supplies | Office supplies |
| FEDEX | Shipping documents or samples | Postage and shipping |
| VERIZON WIRELESS | Business phone plan | Phone and internet |
| AMAZON MKTPL | Depends on the order | Split by the receipt |
| ANNUAL MEMBERSHIP FEE | The card’s yearly fee | Bank and card fees |
| INTEREST CHARGE ON PAY OVER TIME | Interest on a balance carried | Interest expense |
| ONLINE PAYMENT - THANK YOU | Your payment from checking | Transfer from checking, not an expense |
Keep meals in their own account. Business meals are usually only partly deductible, so your tax preparer will want that total on its own line. Amazon and warehouse-club orders are where most miscategorized lines come from, because one order can hold supplies, a piece of equipment and something for home.

THE AWKWARD LINES
How do you record the annual fee, interest, rewards and credits?
Most of an Amex statement is ordinary spending. These lines are the ones that end up in the wrong place.
Annual membership fee
A business expense, posted to bank and card fees in the month Amex bills it. It belongs to the card, not to any purchase, so it never goes to travel or supplies.
Interest and late fees
Most Amex business cards expect the balance paid in full each month, but some let you carry part of it with Pay Over Time. Interest goes to interest expense and late fees to bank and card fees, kept apart so the cost of carrying a balance is visible.
Membership Rewards and cash back
Points used as a statement credit are usually treated as a discount on what you bought, not as income. Post the credit back to the account the spending went to, or to one contra-expense account called Card rewards if you’d rather see the total. Ask your tax preparer which they prefer and stick with it.
Statement credits and refunds
A refund from a merchant reverses the original charge, so it goes to the same account the charge went to. Offer credits, such as a set amount back on a software subscription, go to that same software account.
Employee cards
Additional cards bill to the same account, so every cardholder’s charges arrive on one statement and one liability. The cardholder name matters for review, not for the account: categorize by what was bought, then ask the cardholder about anything you can’t place.
THE PAYMENT
How do you stop the Amex payment being counted twice?
Each month the payment shows up twice. Checking has a withdrawal, often worded like AMEX EPAYMENT ACH PMT, and the Amex statement has a matching credit such as ONLINE PAYMENT - THANK YOU. The charges were already expensed one by one, so if the checking withdrawal is also posted to an expense, the same month of spending hits the profit and loss twice.
Record the payment as a transfer: checking goes down, the amount owed on the card goes down, and nothing touches income or expenses. In ZeraBooks the card is its own account, so a payment line on checking is categorized as the card and the matching line on the card is categorized as the checking account. When both statements are uploaded, the two sides are paired, which is how the same rule works for any business that pays a card from operating checking, as in our guide to restaurant bank accounts and daily deposits.
WORKED EXAMPLE
Example: one month of an Amex business card in the books
A fictional design studio, March statement. Payments and credits are shown in brackets because they reduce what the business owes.
| Statement line | Amount | Where it goes | On the P&L? |
|---|---|---|---|
| Previous balance | 4,212.18 | Already owed on the Amex account | No |
| ONLINE PAYMENT - THANK YOU | (4,212.18) | Transfer from Operating checking | No |
| 31 business charges | 5,300.00 | Expense accounts from the mapping above | Yes |
| COSTCO WHSE, groceries for home | 86.40 | Owner’s draws | No |
| Offer credit on Adobe | (60.00) | Software and subscriptions | Yes, as a reduction |
| ANNUAL MEMBERSHIP FEE | 250.00 | Bank and card fees | Yes |
| New balance | 5,576.40 | Owed on the Amex account at month end | No |
March’s expenses from this card come to $5,490.00: the $5,300.00 of charges, less the $60.00 credit, plus the $250.00 fee. That is the figure that should appear across the expense lines of the profit and loss statement. Add the $86.40 draw and you get $5,576.40, the new balance, because the old balance was paid in full.
PERSONAL CHARGES
What about personal charges on a business Amex?
Keep them out of expenses. For a sole proprietor or a partnership, a personal charge paid with the business card is an owner’s draw. For a corporation, most accountants record it as an amount the owner owes the company, cleared when the owner pays it back. Either way it stays off the profit and loss, and the card balance still includes it until the statement is paid.
The easier fix is habit: one card for the business, one for personal spending. When a personal charge slips through, write a short note on it the same week while you still remember what it was.
IN ZERABOOKS
How ZeraBooks categorizes an American Express statement
You upload the statement. The AI makes the category calls, the ledger does the arithmetic, and anything it isn’t sure about comes to you as a question.
- 1
Add the card as its own account
In Banks & Cards, add it as a Card with a name you’ll recognize, such as “Amex Business Gold 1008”. No Amex login is needed.
- 2
Upload each month’s PDF
Download the PDF statement from American Express and upload it to that card. ZeraBooks checks that the charges, credits and payments carry the previous balance to the new one, so a missing or misread line shows up.
- 3
Let the AI categorize
Charges are categorized from your chart of accounts and the lines you’ve already reviewed. Tell Ask Zera a rule once, for example “Uber is local travel”, and it is used from then on. Fix one Adobe charge and ZeraBooks offers to apply the same account to every similar Adobe charge.
- 4
Upload checking too
The payment on the checking statement and the payment credit on the Amex statement are recognized as one transfer, so neither is counted as spending.
- 5
Answer the personal questions
When a purchase looks personal, Autopilot asks whether it was. Answer yes and it moves to your owner’s draws account.
- 6
Reconcile and close the month
Reconciliations compares the statement with the ledger for the card’s payments, charges and net. When they tie, close the month so it can’t change by accident.

What expense category is an American Express charge?
There is no single Amex category. The card itself is a credit card liability account, and each charge is categorized by what it bought: software, travel, meals, advertising and so on. The only lines that belong to the card rather than to a purchase are the annual fee, interest and late fees.
Is the payment to American Express an expense?
No. Paying the card moves money from checking to reduce what you owe, so it is a transfer between two of your own accounts. The spending was already recorded charge by charge on the card.
Are Membership Rewards points taxable income for a business?
Points earned by spending are generally treated as a rebate on the purchases, which lowers their cost rather than counting as income. A bonus that doesn’t depend on spending can be treated differently. Your tax preparer makes that call; the books just need the credits recorded the same way every time.
Does ZeraBooks connect to American Express?
No. ZeraBooks has no connection to Amex or any bank. You upload the PDF statement each month. A CSV download from Amex also works, but it usually has no opening or closing balance, so you enter both from the printed statement.
I only need my Amex statement in Excel. Can ZeraBooks do that?
Yes. The ZeraBooks bank statement converter turns an Amex PDF into Excel or CSV, assigns each charge to its cardholder when there are extra cards, and checks the lines against the previous and new balance printed on the statement. The Converter doesn’t categorize; that happens in the ledger or in your own spreadsheet.
Should each employee card have its own account in the books?
Usually not. All the cards bill to one Amex account and one statement, so one liability account keeps the books matching the statement. Review by cardholder, but categorize by what was bought.
How much does ZeraBooks cost?
$79 a month billed annually or $149 monthly, after a 7-day trial, with every card and bank account included. See ZeraBooks pricing. Would rather not categorize at all? Our bookkeeping services team keeps the books for you, quoted after a call.
