What Is Accountant Access in QuickBooks Online?

Accountant access in QuickBooks Online is a special user role designed for external accountants, bookkeepers, and CPAs. It gives the accountant full visibility into the company file — transactions, reports, chart of accounts, reconciliations — plus permissions to create journal entries, close periods, and run reports.

Why Removing an Accountant Gets Complicated

Only the primary admin can remove accountant users

Standard users and even company admins cannot remove accountant-type users. You need the primary admin (account owner) or a user with full admin permissions. If the primary admin left the company, you need to contact Intuit support to transfer ownership.

Pending invitations stay active until explicitly canceled

If you invited an accountant but they never accepted, the invitation remains active. Removing the accountant from Manage Users also cancels the invitation. But if you only revoked their password without removing the user, the account still exists.
